This Opportunity

WSP is currently initiating a search for a Full Time-Document Controller for our Baltimore, MD office.  They will be involved in projects with our Project Controls Team and be a part of a growing organization that meets our client’s objectives and solves their challenges. 

Your Impact

  • Influence the narrative by understanding what needs to be done. Support the Project vision and initiatives.
  • Implement efficient work-flow process, monitor daily activity, implement modifications.
  • Supports the delivery of Document Management that will facilitate storage, control and delivery of all formally released/issued documents and records. 
  • Work within the existing “Electronic Document Management System (EDMS)”
  • Support Project with system(s) access and security.
  • Provide Document Management support to entire project team:
  • Researrch and Retrieve files Upload / Download files from EDMS, Manage Document Naming Convention,numbering, assigning, distribution, filing and protection of all procedures, templates and forms.
  • Implement efficient work-flow process, monitor daily activity, implement modifications.
  • Process Incoming/Outgoing Documentation
  • Organize and Schedule all Meetings for entire Project Team. 
  • Familar with all phases of Project including Pre-Construction, Construction and Closeout.
  • Familar with RFI, Change Order and Submittal processes.
  • Perform reoccuring training on Document Management Requirements and EDMS use.
  • Optimize Document Control productivity, efficiency, and service quality across all departments.
  • Work with project leads to ensure timely processing of documentation along with any future updates. 

Who You Are

Required Qualifications

  • High school diploama and 7 years of experience in the management of a successful team.
  • OR Bachelor's degree in Business Administration or a related field and equivlanet experiene 
  • Knowledge of document management process and procedures and systems, Sharepoint and Projectsolve.  
  • Skilled in Microsoft Office systems.
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
  • Excellent written and verbal communication skills 
  • Champion best practice for document & records management across the projects. 
  • Technical knowledge of industry documents, records and data management systems 
  • Team player with excellent communication and presentation skills
  • Demonstrated experience with typical Microsoft office applications, such as Word, Power Point, Excel and Visio
